It is now possible in TeamShare to set up your own digital forms for use in customer inquiries in the Forms module and subsequently process and communicate securely via TeamShare's Secure Portal.
This ensures that personal data and documents are processed correctly in the dialogue with your customers.
The customer contacts you via your website and fills out a digital form with the relevant fields (the Form module), which you have created and maintain yourself in TeamShare. Documents, images, etc. can of course also be uploaded. The customer subsequently automatically receives a receipt for the inquiry.
You receive the inquiry in TeamShare and start processing the case. The case has already been automatically created with the information that the customer entered via the form on your website. If you need further information, simply send the customer an email containing an encrypted link to SikkerPortal. The customer logs in securely to the portal with, for example, NemID or MitID and can respond here and possibly upload additional documents on the case, which you then have access to in TeamShare.
All communication between you and the customer now takes place via SikkerPortal. You work on the case in TeamShare, and the customer logs into the portal when they have received a notification about new inquiries from you. You achieve fewer inquiries, as the customer now has the overview and at the same time there is control over confidential personal information and documents.
If you want to take your digital journey a step further, you can connect TeamShare's powerful workflow module to the process. For example, you may have received a request for access to documents that has been created in the form module via your website.
The workflow module captures the request, creates a document access case, and collects relevant documents on the case according to a logic that you determine. The case handler who has become responsible for the document access case selects relevant documents and uploads them to SikkerPortal so that they are ready for the applicant.
The applicant who has requested access to documents will receive a notification and can then log in to SikkerPortal.
All further communication with the applicant takes place in SikkerPortal, so that confidential information and documents are kept under control.
