Challenge
Odense Renovation was faced with the need to acquire an electronic document management system. A solution had to be found for the entire organization with different departments that jointly solve a number of tasks related to operations.
There was a need for storage of documentation and correspondence, as well as the possibility of collaboration with a number of external partners, including Odense Municipality.
They also wanted a solution that could be integrated with the existing Navision solution and streamline daily work by automating workflows.
Before the introduction of the ESDH, Odense Renovation a paper archive for their contracts, a shared drive for electronic documents without a uniform structure, and a large and unmanageable number of folders. It was therefore difficult to find documents or the right version.
The image archive was an important part of the information that had to be handled and it was important that there was a possibility to get a quick overview of the images.
There was also a desire for the system to support and simplify daily work, while at the same time allowing the system to be adapted to the individual user.
Solution
TeamShare could handle all requests as a standard solution Odense Renovation had for an upcoming system. The solution was adapted to their concepts, their different roles and rights and replaced their network drive.
A modern ESDH system that TeamShare ensures user-friendly handling of documents, and allows you to quickly find cases, project information, documents and contacts. An integration has also been developed for Navision and LIFA, which automates the creation of cases and workflows in customized workflows.
With the ability to preview all files, including images, as is known from Explorer, it is easy to find the right document or image.
