Challenge
After a merger of Energiforsyningen Køge, Greve-Solrød Forsyning and Stevns Forsyning, KLAR Forsyning with three different ESDH solutions that had to be run together.
The Køge Energy Supply used DocuNote, Greve-Solrød Supply used TeamShare and Stevns used Acadre. In addition, there were a number of requests for access to the upcoming system, including access for employees outside the office who needed to be able to work with documentation on the various cases they worked on.
It was not possible to bring a laptop, so it was important that smartphones or tablets could be used.
It was also important that customer inquiries, for example, regarding burst water pipes, could be created quickly as new cases, so that personnel could be assigned who could solve the task quickly.
Solution
After an evaluation, the TeamShare chosen over DocuNote and Acadre. At the same time as adapting to more employees, TeamShare upgraded to latest version.
A solution that had mobile access was also needed, so that employees could access it from their smartphones and tablets. The structure of the entire company was updated, so TeamShare supported the new workflows and plans.
All cases and documents had to be transferred from DocuNote and Acadre to TeamShare, so that work could continue unhindered, and all users had to be trained in TeamShare.
A new customer service module was developed for TeamShare, so that a new case could be created directly in TeamShare, and customers could be helped as quickly as possible.
What will you get out of this?
KLAR Forsyning has received a modern system that is adapted to the new structure and organization. All cases have been transferred, and users have been trained in TeamShare.
The module integrates, among other things, pipeline data over a map, so that employees can see the wiring and help both the customer and the employees on the job find the fault quickly.
Employees outside the office have access to TeamShare through an app where they can view and edit all documents and contacts. New documents and possibly photo documentation in the form of images can also be uploaded, which are available to all colleagues immediately.
TeamShare The app also handles offline mode, so documents or entire cases can be copied to the employee's phone and updated when there is a connection to the mobile network again.
KLAR Forsyning is a merger of Energiforsyningen Køge, Greve Solrød Forsyning and Stevns Forsyning.
KLAR Forsyning is responsible for cleaning wastewater in the four municipalities, for waste in Greve Municipality, for the common recycling site in Greve and Solrød Municipality and for water and heating supply in part of Køge Municipality.
Together, services KLAR Forsyning approximately 152.000 customers.
