Challenge
Frederiksborg Brand & Redning (FBBR) needed a new system for handling documents and cases. They had previously used Frederikssund Municipality's ESDH solution, but were therefore also subject to their setup of the solution.
It was important that the solution was easy to use, as several users were not daily users, but needed to be able to find information quickly. Therefore, a familiar user interface was also important in order to be able to use the solution as quickly as possible.
FBBR wanted a solution that did not require in-house IT skills and their own server park. Therefore, they preferred a cloud solution.
FBBR uses the Office suite daily, so it was also important that there was coherence between, among other things, Outlook and their new solution and that the workflows were as logical as possible.
Solution
TeamShare, delivered as an integrated cloud solution, simultaneously solves all the challenges and wishes, FBBR have.
The structure of overviews and menus uses icons that match Microsoft's appearance in the Office suite. Integration with the Office suite is included, so workflows appear natural and without the need to switch programs along the way.
TeamShare delivered as Software-as-a-Service, where Lector Responsible for operations, backups, upgrades, support, etc.
Lector delivers and runs the entire project, which also includes extracting data from the old solution and loading it into TeamShare.
What will you get out of this?
By using SharePoint Online you get FBBR maximum benefit from their Office 365 licenses. It also ensures that all documents and cases are hosted with Microsoft, which offers a secure, stable environment.
With TeamShare as a plugin for the Office suite and Outlook, as well as in the users' web browser, information and documents are accessible from anywhere, with an overview that uses familiar icons, natural workflows and a Google-like search functionality.
Security is also top notch. Users log in to their machines as they normally would with a login, and 2-factor security provides an extra layer. Since it is a cloud solution, there is no need to use VPN connections, remote desktop or the like.
Finally, get FBBR a solution that fits into the IT strategy, freeing up resources to handle their core tasks, rather than having to control IT, update and take backups.
