Danish Disability Organizations - ESDH, email archiving and knowledge sharing

Danske Handicaporganisationer was founded in 1934 as the Cooperative Disabled Organisations. Today, there are 35 member organisations in DH, which together have more than 340.000 members, and the organisations represent all types of disabilities.

DH deals with disability policy in a broad sense, and in all aspects and sectors of society. According to its statutes, DH must only work on topics that are of common interest to its member organizations.

Digitalization of case processing

In 2011, Danske Handicaporganisationer decided to replace their old ESDH system with TeamShareThe ambition was to implement a solution for case and document management that was based on Microsoft Sharepoint and that could be made available to the member organizations under DH.

By offering member organizations the opportunity to have their own virtual ESDH system as part of DHs TeamShare installation, organizations were given one solution where economies of scale could be reaped during implementation and after the transition to operations.

The member organizations were offered one or more archives as needed, where they can utilize access to a complete ESDH system for, among other things, email archiving and knowledge sharing, while the administration of the system itself is handled centrally.

Since there are watertight partitions between the legal entities, they are also free to choose integrations and set up workflows as needed.

In connection with the implementation, TeamShare has been tested by DH's member organizations to ensure that the system can also be used by people with, for example, visual impairments.

Conversion

Cases and documents have been converted from the ESDH system Acadre. The conversion was achieved by implementing the following activities:

• Workshop with analysis of data and customer expectations for the final product
• Data extraction
• Mapping content from old to new structure
• Case conversion
• Loading parties
• Loading documents

Education

The teaching includes targeted courses with course material and assignments for the following groups:

• System administrators
• Operations department
• Ordinary users
